Part-Time Events and Venues Department Coordinator

Job Summary
The purpose of this part-time position is to help coordinate Town of Bluffton facilities rentals, Town of Bluffton special events and non-Town of Bluffton special events in the Events and Venues Department. Work is performed under the supervision of the Director of Events and Venues.

Essential Job Functions
Aids the Events and Venues Department in the management of Town rental facilities and Town hosted special events and non-Town hosted special events.
Helps coordinate facility rentals at the New Riverside Barn, Rotary Community Center, Field of Dreams at Oscar Frazier Park, Wright Family Park, Martin Family Park, Oyster Factory Park, Buckwalter Place Amphitheater Park and Buckwalter Place Veterans Park.
Coordinates rentals including showing and scheduling; coordinates key pick-ups and returns; ensures rentals are clean and free of damage; schedules janitorial or repairs if needed; and completes pre and post rental inspections.
Provides customer service for sponsors, vendors, and guests at events.
Attends special event meetings and other meetings as needed.
Responds to inquiries via e mail, phone, text, and in person.
Assists with purchases/contracting for goods and services.
Provides input for Department budget.
Researches products related to the department’s needs.
Provides assistance at Town sponsored special events and non-Town supported events.
Performs other related duties as assigned.
Qualifications
Education and Experience:
Associate degree (bachelor’s preferred); and three (3) years of related work experience in event
planning, organizing, or facilitating; or equivalent combination of education and experience.

Licenses or Certifications:
Valid South Carolina driver’s license.

Knowledge of standard office practices, procedures, equipment, and office assistance techniques.
Knowledge of how to handle emergencies.
Knowledge of maintenance management.
Knowledge of contract administration.
Knowledge of government procurement processes.
Knowledge of Town procedures, policies, and practices.
Knowledge of accounting and budget processes.
Skill in establishing and maintaining effective working relationships with associates and the public.
Skill in operating standard office and computer equipment including Microsoft Office: Excel, Word, Outlook and PowerPoint.
Skill in typing data accurately and at a reasonable rate of speed.
Skill in delivering customer service.
Skill in communicating, both verbally and in writing.
Ability to solve problems.
Ability to read and understand basic, relevant Town and state policies and procedures.
Ability to establish and maintain work relationships with vendors, customers, and other employees.
Ability to assist at special events.
Physical Demands & Work Environment
The work is light work. The employee is frequently required to apply 10 pounds of force to lift, carry, push, pull or otherwise move objects. The employee is occasionally required to exert up to 20 pounds of force to move objects. In addition, positions in this classification typically require balancing, climbing, crawling, crouching, feeling, grasping, handling, perceiving sounds at normal speaking levels, discriminating among sounds, kneeling, lifting, manual dexterity, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, expressing ideas by the spoken word, acuity to analyze data/work with color or depth perception/determine accuracy or observe facilities, and walking.

Duties are performed primarily in a moderately noisy business office with copy machines,
phones, and printers along with some light foot traffic. Duties are also performed at various event sites including some exposure to outdoor weather conditions, moving
machinery, fumes and airborne particles, toxic or caustic chemicals, and risk of electrical shock.
