Fleet Maintenance Coordinator

Under limited supervision provides Administrative and Technical support for the Fleet Maintenance Department. Coordinates routine and non-routine Fleet related services, repairs and maintenance with BJWSA employees, departments, and vendors. This is to include stationary equipment such as auxiliary engines and generators used in the water and wastewater systems. Utilize Computerized Maintenance Management Software (CMMS) and Fleet asset management software to support the Fleet Maintenance program.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Duties include but are not limited to:
1.Supports the Fleet Maintenance Department with customer service functions; receives Fleet emergency phone calls and dispatches appropriate Fleet Technicians for repairs. Administers Pool Vehicle key check out and check in.
2.Assists in/and or coordinates with operators of vehicles and equipment as well as vendors and outsource repair shops to schedule maintenance and or repairs, track progress, and maintain parts inventory levels.
3.Performs light maintenance and repairs to BJWSA Fleet Vehicles and or Equipment.
4.Administers BJWSA’s Fuel Card program to include issuing fuel pins for new hires, reorder of damaged/missing fuel cards and distribution of new cards.
5.Supports the processing of new Fleet vehicles and mobile equipment; ensures that new vehicles/mobile equipment documentation is received from vendors upon delivery and submits required documentation to the Purchasing Department. Inputs the data in the Computer Maintenance Management System (CMMS) as well as the Fleet Telematics system and assigns Vehicle/Mobile Equipment asset numbers.
6.Updates the Fleet Telematics system with employee/driver information and assists in key fob distribution and collection.
7.Updates and Maintains both electronic and physical records of Vehicles/Mobile Equipment.
8.Supports the processing of Fleet vehicles/mobile equipment for disposal; Removes BJWSA related information (tags, logos, GPS units), provides photos of vehicles/equipment to the Purchasing Department as needed.
9.Serves as the internal point of contact for the Purchasing Department regarding Fleet Vehicle/Mobile Equipment surplus inquiries and removal of assets from BJWSA.
10.Inspects vehicle/mobile equipment damage and acquire repair estimates if needed.
11.Schedules repairs with outside vendors involving Fleet Vehicles/Mobile Equipment insurance claims and communicates repair status to appropriate departments. Verifies appropriate repairs were completed and inspects vehicles/equipment. Updates appropriate electronic records and departments.
12.Completes material requisitions for all purchases made or orders requested to maintain spare parts, repair, and maintenance inventory.
13.Receives, reviews, prepares and processes or transmits a variety of information such as maintenance work orders, DVIR’s, procedure manuals, electrical, mechanical and hydraulic schematics, technical reports, and parts catalogs.
14.Performs other duties as required within the scope of responsibility.

MINIMUM QUALIFICATIONS

EDUCATION and/or EXPERIENCE: Requires a high school diploma or equivalent. Requires a general knowledge of the Automotive and or Heavy Truck/Equipment service and repair trade. Minimum (2) years of experience in either the Automotive or Heavy Truck/Equipment Industry as a service writer, parts work, or any equivalent combination of related training and experience. Must be able to prioritize and manage multiple task in accordance with an active Fleet Department. Experience with software programs utilized by the Authority, including Microsoft Word, Excel, Outlook, PowerPoint, Lucity Munis and Verizon Reveal.

CERTIFICATES, LICENSES, REGISTRATIONS: Must possess and maintain a valid driver’s license, prefer a State of South Carolina Commercial Driver’s License. Must possess or obtain within one year of hire ASE Certification in Automobile Service Consultant (C-1) and Automotive Maintenance and Light Repair (G-1).
