How to be Impactful:
The Legal Assistant / Paralegal plays a crucial part in ensuring seamless case management. The ideal candidate is detail-oriented, tech-savvy, and excels in a fast-paced legal environment while delivering exceptional client service.
Summary of Responsibilities:
● Serve as a primary point of contact for prospective and active estate planning clients, ensuring timely follow-ups, appointment scheduling, and seamless case progression.
● Oversee the intake process by gathering necessary client information, tracking status in Clio Grow, and ensuring all documentation is complete for case advancement.
● Draft and manage engagement letters, follow up on outstanding fees, and maintain accurate client records to ensure smooth onboarding and legal compliance.
● Prepare, proofread, and format estate planning documents, including powers of attorney and healthcare directives, following firm procedures.
● Organize, scan, and track client files, key case milestones, and deadlines to ensure smooth case progression.
● Coordinate the finalization and delivery of estate planning documents, ensuring accuracy and adherence to legal and firm standards.
● Assist attorneys with scheduling, correspondence, and case-related tasks while maintaining accurate records in Clio.
● Ensure adherence to firm policies and procedures, maintaining confidentiality and an efficient legal workflow.
● Other duties as assigned.
Qualifications:
● At least 5+ years of experience in legal administration and/or relevant roles within a law firm environment.
● Prior experience supporting an estate planning practice.
● High attention to detail and strong proficiency with Microsoft Outlook, Word, Excel and legal practice management software.
● Familiarity with online document management programs and estate planning drafting software.
